Privacy Policy for Inventors

This Privacy Policy describes how National University Corporation Kyushu University in Japan (“KU” or “we”) collects, uses fairly and stores safely the personal data about Inventor (defined as below). If you have any questions and concerns or if you would like more information about our privacy policy, please contact us at joho-kokai@jimu.kyushu-u.ac.jp.
This Privacy Policy applies to students, faculty members and researchers (on-campus or off-campus, both current and former) who will be the inventors of any invention or the owners of any program copyright, arising from KU-led collaborative research project, sponsored research project, a project involving KU facilities or an implementation of KU’s plan and who conclude an agreement with KU to assign their intellectual property rights such as patent rights, patent application rights and copyright to KU (hereinafter referred to as the “Inventor”) in accordance with the “Kyushu University: Policy on Intellectual Property” and “Kyushu University: Rules on the Handling of Intellectual Property”.

1. The personal data we collect

What kind of the personal data we collect and how we collect your personal data are indicated in our “Privacy Policy for Students” and the “Privacy Policy for Faculty Member, Staffs, Researchers and Visiting Researchers, Fellows and Visitors”.

2. How we use your personal data

We may process your personal data because it is necessary for the performance of a contract with you or in order to take step at your request prior to entering into a contract. For fulfilling this respect, we use your personal data for the following:
・      distribution of the revenue is generated through exploiting the intellectual property rights which you have transferred to KU.
We may process your personal data because it is necessary for the purpose of the legitimate interests pursued by KU. For fulfilling this respect, we use your personal data for the following:
・      compliance with patent application procedures, patent maintenance and other necessary procedures related to patent application, transfer and management of the patent to obtain the required documents with your support;and
・      developing and promoting the mechanism of industry-academia collaboration effectively and exploiting the intellectual property rights which you have transferred to KU.
We may process your personal data in relation to compliance with our legal obligations and our missions. For fulfilling this respect, we may use your personal data for the following:
・      financial audits;
・      compliance with our regulatory and legal obligation; and
・      prevention and detection of crime.
If we access certain optional services, we will ask for your consent for data processing.

3. Sharing your personal data with third parties

Your personal data may be shared with the following types of relevant organization:
・      Japan Patent Office and foreign country patent office if necessary (*Inventor name may be published by Japan Patent Office)
・      patent attorneys who represent KU
・      co-owner organization of the filed patent
・      Kyushu TLO Company Limited and TLO-KYOTO Co., Ltd. which are the Technology Licensing Organization established for university technology IP transfer in accordance with Act on Promotion of Technology Transfer from Universities to Private Business Operators of Japan.
If we want to use your personal data for a reason other than those purposes or transfer your personal data to any other third parties set out above, you will be notified and asked for consent.

4. How long we keep your personal data

Your personal data we collected either through the application process or directly from you will only be kept for a period, that is set base on the legal requirements of the national and local authorities in Japan.

5. Your rights

Your rights and the Cookies policy are indicated in in the “Privacy Policy for Students” and the “Privacy Policy for Faculty Member, Staffs, Researchers and Visiting Researchers, Fellows and Visitors”.

6. How we protect your personal data

We are improving security measures to protect your personal data, information security policies that must be read and understood by all member of staffs. The personal data is only available to those members of staffs who require access as part of their duties.
We may update this Privacy Policy at any time. The most current version will be available on our website or it can be notified to you by e-mail.
